Whether it’s a leave request, promotion, transfer, document approval, or any other workflow, business operations shouldn’t stop simply because an approver is unavailable.
Oracle Fusion HCM provides a standard capability called Vacation Rules, allowing organizations to temporarily route workflow approvals to another user without modifying approval rules or BPM configuration.
In this article, we’ll explore how Vacation Rules work, when they should be used, and a few important considerations that every Oracle HCM consultant should know.
Why Vacation Rules Matter
Approval workflows are a critical part of Oracle Fusion HCM. Delays in approvals can directly impact payroll, recruitment, employee lifecycle transactions, and overall business operations.
Instead of changing workflow configurations every time an approver goes on leave, Oracle allows users to define temporary delegation rules.
This ensures:
- Business continuity
- Faster approval turnaround
- Reduced support requests
- No changes to existing approval hierarchy
Steps to Configure Vacation Rules
Oracle provides two different approaches depending on the business scenario.
Employee Self-Service Configuration
This is the most common approach.
Whenever an employee or manager plans to be away, they can configure their own vacation rule and nominate another employee to handle approvals during the specified period.
Typical examples include:
- Annual leave
- Business travel
- Medical leave
- Planned absence
The user simply defines:
- Effective dates
- Person who should receive approvals
- Whether approvals should be delegated or reassigned
- Scope of applicable workflow tasks
This approach gives employees complete control over their temporary approval delegation.

Bell Icon → Show All → Worklist → Click on your User Name → Preferences



Add a new rule

Select the option as Use as vacation rule.
Select the delegation user details so future approvals will be redirected.
